Booking Policy

How to Book Your Session

Booking your session is simple! Here's how the process works:

  1. Initial Inquiry: Reach out via my website contact form, email, or phone. Let me know what type of session you're interested in, your preferred dates, and any special requests or vision you have in mind.

  2. Consultation: I'll respond within 24-48 hours to discuss your session details, answer questions, and help you choose the perfect package. This can be done via phone, video call, or email—whatever works best for you.

  3. Contract & Deposit: Once we've settled on the details, I'll send you a digital contract and invoice for your session deposit. Your session date is only secured once both the signed contract and deposit have been received.

  4. Confirmation: You'll receive a confirmation email with all the session details, including date, time, location, what to wear/bring, and any preparation tips. I'll also send a reminder 48 hours before your session.

Booking Timeline

  • Mini Sessions: Book at least 1-2 weeks in advance; limited availability

  • Portrait & Family Sessions: Book 2-4 weeks in advance; weekends fill quickly, especially in fall

  • Events: Book 3-4 weeks in advance minimum; larger events 1-2 months preferred

  • Weddings: Book 6-12 months in advance; popular dates book quickly

  • Last-Minute Sessions: I'll do my best to accommodate rush requests when my schedule allows—just ask!

In-Studio vs. On-Location Sessions

Studio Sessions

  • Climate-controlled environment—perfect for newborns, headshots, and weather-proof sessions

  • Selection of backdrops and props available

  • Parking available on-site

  • No additional location fees

On-Location Sessions

  • Available at your home, a park, downtown area, or meaningful location of your choice

  • Locations within 20 miles of New Albany are included at no extra charge

  • Locations beyond 20 miles: $0.65/mile round-trip travel fee applies

  • Any required location permits or entrance fees are the client's responsibility

  • Outdoor sessions are weather-dependent (see rescheduling policy)

All deposits are non-refundable but may be applied to a rescheduled session

(see Cancellation Policy).

Rescheduling Your Session

Need to change your session date? No problem—I'm happy to accommodate when possible.

Rescheduled sessions must take place within 90 days of the original date unless otherwise agreed.

Cancellation by Client

If you need to cancel your session entirely:

No-Show Policy

If you do not arrive for your scheduled session and have not contacted me, I will wait 15 minutes before considering the session a no-show. The full session fee will be charged, and no refund or reschedule will be offered. Please communicate with me—even a quick text helps!

Emergency & Extenuating Circumstances

I'm a real person, and I understand that true emergencies happen—illness, family emergencies, accidents, or other unforeseen situations. In these cases:

  • Please contact me as soon as possible, even if it's the day of your session

  • I'll work with you compassionately to reschedule at no additional fee

  • Documentation may be requested for fee waivers in some situations

  • Each situation is handled on a case-by-case basis with understanding and flexibility

 

Weather-Related Rescheduling

For outdoor sessions, weather can be unpredictable. Here's how I handle it:

  • Light overcast or mild wind: Sessions proceed (overcast actually makes beautiful, soft lighting!)

  • Rain, thunderstorms, extreme cold/heat: I'll contact you 2-4 hours before to discuss options—move to an alternate indoor location or reschedule at no charge

  • Decision authority: If I determine conditions are unsafe or will significantly impact photo quality, I reserve the right to require rescheduling

 

Cancellation by Photographer

In the rare event I must cancel due to illness, emergency, or unforeseen circumstances, you will receive a full refund of all payments made OR the option to reschedule at your convenience—whichever you prefer. I will make every effort to provide as much notice as possible and help you find alternative arrangements if needed.

Accepted Payment Methods

I accept the following forms of payment for your convenience:

  • Credit/Debit Cards: Visa, Mastercard, American Express, Discover (processed securely online)

  • Digital Payments: Venmo, PayPal, Zelle, Apple Pay

  • Cash: Accepted for in-person payments (exact amount appreciated)

  • Check: Personal checks accepted if received at least 10 business days before session (allows time to clear)

Print orders, albums, and additional products are due in full at the time of ordering.

Late Payments

  • Invoices are due by the date specified (typically within 7 days of receipt)

  • A reminder will be sent 2 days before the due date

  • Overdue invoices (7+ days past due): A $25 late fee will be applied

  • Severely overdue (30+ days): Additional $25 fee; gallery access may be suspended until payment is received

  • If you're experiencing financial hardship, please talk to me—I'm happy to work out a solution together

Payment Plans

I want professional photography to be accessible! Payment plans are available for packages over $500:

  • Split your balance into 2-4 equal monthly payments

  • All payments must be completed before your session date (or before image delivery for events)

  • No additional fees for payment plans

  • Just ask during booking and I'll set up a customized payment schedule

Refund Policy

  • Deposits: Non-refundable, but transferable to a rescheduled session (see Cancellation Policy)

  • Session fees: Refunds available according to cancellation timeline (see Cancellation Policy)

  • Completed sessions: No refunds once the session has taken place, as services have been rendered

  • Print products: No refunds on custom print orders once placed with the lab

  • Damaged products: If prints arrive damaged from the lab, I'll replace them at no charge—just notify me within 7 days of receipt

  • Satisfaction guarantee: I want you to love your photos. If you're unhappy with your gallery, let's talk before making any decisions—I'm committed to making it right
